OK, so a few different options for location:

  1. Lake Merritt
  • reasonably close to BART (5-10 min walk from 19th ST)
  • not 100% sure whether there are BBQs, but from what I could find online there either are or we could bring our own (I have a weber grill and could probably round up a few more). I can bike around and talk to a few people and see what the deal is.
  • no source of electricity or power if we wanted to do a talk or two
  • everyone gets to experience the lake, which is really lovely
  • potentially a covered gazebo space if it rained
  • enough room for as many people as we like
  1. Mosswood Park
  • reasonably close to BART (5-10 min walk from Macarthur)
  • not 100% sure whether there are BBQs, but Yelp seems to suggest that there are
  • no source of electricity or power if we wanted to do a talk or two
  • no indoor space if it rained
  • less nice compared to Lake Merritt, would really only want to do if for some reason BBQs weren't allowed at the Lake
  • enough room for as many people as we like
  1. My house
  • less close to BART (15-20 min walk from Macarthur)
  • BBQ, electricity, internet, easy access indoor space
  • room for up to ~50 comfortably in the backyard, ~100 comfortably in the whole house

Anyone else have parks that they like in Oakland that we could do a BBQ at? Suggestions? Thoughts?

If we do this as the "opening" event on the first Sunday we should expect much less than the entirety of the conference to be there, and I think it could set a nice tone. With those numbers your house could work fine.

That sounds good to me. I'll whip together a quick website that we can put up at jsbbq.org and then start thinking about the format of the event.

@jessepollak cool. One idea I had was to reach out to the JSBBQ speaker alumni (Guillermo Rauch, Alex Russell, Paul Irish, Aaron Quint) and see if any of them were interested in speaking.

Definitely into the idea — I don't know any of them, do you think it would be effective for me to shoot them each a cold email or would you (or one of the other organizers) be able to introduce me?

OK, so I'm starting to pull all the necessary things together for this event — it's going to be awesome. Two questions:

  • Any thoughts on how many people will show up?
  • Any idea what the breakdown of vegetarian/omnivore will be?

Here's my to-get/to-do list so far, any feedback/advice would be much appreciate:

  • Projector
  • Grill (x2)

I'm borrowing a neighbors large gas grill and I have a charcoal grill just in case. Should be plenty of grill-space to cook up a storm.

  • Folding tables & chairs to seat 30

I hadn't thought of this, but my house only has 6 chairs and one real table. I'm thinking it'd be best to rent/borrow folding chairs and tables to seat about 30. Any thoughts on a good place to get this in Oakland?

  • Audio system with mic for speakers

I'm going to start asking around to see if I can find someone who has this.

  • Screen to project onto

I'm thinking a large white sheet that I can hang on the side of my house. Looking at the weather, it looks like Saturday & Sunday will be dry, so I'm thinking this should be good. Does anyone have experience with this kind of outdoor presentation setup?

  • Food

I haven't broken this down yet into a large shopping list, because I'm still not sure on numbers. I'm thinking I'll do the big shop day of ~3 after the Ally Training.

People tend to stand and eat, might want a table or two to set the food out on tho

Probably not necessary, if everyone is standing and watching the presenter they will be close enough that
they can just speak loudly, that's what we've done previously.

Screen to project onto

I have a large outdoor screen I can bring.

Food

I can do a COSTCO run on Saturday and expense food to the conference, just come up with a list :)

OK, then I won't get tables or chairs. We'll use the two tables we have, which should be good enough for food and drinks.

Standard foods:

  • 50 hot dogs & buns
  • 50 hamburgers & buns
  • 10 veggie burgers & buns
  • 10 tomatoes
  • 4 heads of lettuce
  • 70 slices of cheese
  • 6 onions

Veggies for grilling (thoughts?):

  • 4 eggplants
  • 4 bunches of asparagus
  • 4 peppers

Drinks:

  • Do we want to have beer/wine?
  • 4 gallons of water
  • 50 mixed sodas

Eating supplies:

  • 100 plates
  • 100 forks, knives
  • 100 cups
  • Big pack of napkins

If anyone is free after the ally training today, I'd love help setting up
for JSBBQ (it starts at 5pm). I think I have everything under control, but
it's always nice having more hands and company!
